1. Privacy Policy

Fabeee, Inc. (Fabeee) handles personal information in various different forms. Personal information obtained from customers through business operation and personal information of company employees (hereinafter referred to as “Personal Information”) is a very important information asset to us. We are aware that securely protecting this Personal Information is an important social responsibility for us. Therefore, we strictly adhere to laws, national policies and other regulations pertaining to protection of personal information, and handles Personal Information in an accurate and honest manner so we always place importance on the following matters listed below and put maximum effort into protecting customer’s Personal Information.

  1. 1) All employees recognize the importance of protecting Personal Information. Fabeee obtains and uses Personal Information within the scope of executing our business purpose through legal and fair methods. Personal Information shall not be used for any purpose other than the original purpose. When it is necessary to use Personal Information for a purpose other than the original purpose, it shall be used after obtaining a separate agreement on a new usage purpose. Measures will also be taken for the new usage purpose.
  2. 2) Fabeee strictly adheres to laws pertaining to Personal Information, national policies and other regulations (hereinafter referred to as “Laws, etc.”) as well as a Personal Information protection management system and handles Personal Information in good faith. In addition we always put efforts towards understanding Laws, etc., inform these Laws, etc. to employees working on related business (hereinafter referred to as “Employees”) and business partners, and conform to these Laws, etc.
  3. 3) Fabeee takes logical safety and prevention measures in a technical and organizational manner in regards to dangers such as divulgence, loss or damage to Personal Information. In addition, we carry out regular inspections to correct violations, incidents and accidents which have been discovered in a swift manner and take preventive measures towards the weak points. We carry out thorough training on safety with Employees and business partners.
  4. 4) Fabeee will respond to complaints and consultation about our handling of Personal Information and the Personal Information protection management system in a proper and swift manner when received. We also establish and create the system and methods to maintain the system in which we can always respond in a proper manner.
  5. 5) In order to use Personal Information in a proper manner and thoroughly protect it, Fabeee monitors and audits compliance to internal regulations. We put efforts towards discovering violations, incidents, accidents and the weak points, and the reviews are carried out by our management. By reflecting these results in the management measures and internal regulations, we will continuously review and make improvements to the Personal Information protection management system. Improvements conform to Laws, etc.
  6. 6) This Privacy Policy is distributed and informed to all Employees and listed on the Fabeee’s home page, making it accessible at any time by anyone.

2. Handling Personal Information

Fabeee handles personal information in various different forms. Personal information obtained from customers through business operation and personal information of company employees (hereinafter referred to as “Personal Information”) is a very important information asset to us. We are aware that securely protecting this Personal Information is an important social responsibility for us. Therefore, we strictly adhere to laws, national policies and other regulations pertaining to protection of Personal Information and handles Personal Information in an accurate and honest manner so we always place importance on the following matters listed below and put maximum effort into protecting customer’s personal information.

  1. 1). Obtaining Personal Information and the purpose of usage
    Fabeee uses obtained Personal Information for the following purposes.
    • a) To provide services in personnel database business.
    • b) For contract development, sales, contracted work, billing and payment.
    • c) For work pertaining to hiring Employees.
    • d) To respond to inquiries.
    • e) To execute work (Personal Information obtained from business partners). ※Not disclosed
  2. 2). Commissioning Personal Information
    Fabeee may commission the handling of Personal Information to a third party within the scope of the above usage purposes. In this case, we will select only institutions which have a proper management system for handling Personal Information and carry out necessary and proper supervision of the institutions.
  3. 3). Providing Personal Information to a third party
    Fabeee manages obtained Personal Information in a proper manner and does not provide Personal Information to a third party without prior consent of the person. However, this is not limited to any of the following cases.
    • a) When required to disclose or provide Personal Information by law.
    • b) When commissioning all or some work pertaining to the handling of Personal Information (However, in this case, we will put efforts into properly supervising the company handling the Personal Information through means such as signing an agreement pertaining to protection of Personal Information).
    • c) When disclosing or providing Personal Information in a manner in which the person cannot be identified such as statistical data.
    • d) When it is necessary to protect life, prevent physical injury or protect assets and it is difficult to obtain consent of the person.
    • e) When cooperation is necessary for public work by a national or local governing body, etc. and there is the possibility that obtaining consent of the person could obstruct the execution of this work.
  4. 4). Disclosure of Personal Information
    Fabeee will respond to requests in a logical time period and scope after confirming that the request was made by the actual person when there are requests to disclose personal data which we possess.
    However, the data will not be disclosed in the following cases. When we determine that the data will not be disclosed, we will inform the person with the reason.
    • ・We cannot confirm that the person making the request is the actual person.
    • ・When cannot confirm proxy when applying through an agent.
    • ・When the application form is not complete or when the request does not follow the designated method.
    • ・When the disclosure request target does not apply to the personal data.
    • ・When there is the possibility of harm to the life, body, assets or another right or benefit to the actual person or a third party.
    • ・When there is the possibility that this will create a remarkable obstacle towards the proper implementation of our work.
    • ・When it is a violation of other laws.
    • ・When there is no responsibility to disclose the data based on Act on the Protection of Personal Information.
    • a) Procedure to obtain a disclosure request form and the place to apply
      The place to request a disclosure request form or apply for disclosure is the [Personal Information Desk] listed below.
    • b) Submission of the disclosure request form is possible by coming to Fabeee and directly submitting it, by postal mail, by fax or via e-mail. Oral requests by phone to the Personal Information Desk are generally not accepted. However, this is not limited to cases involving submitting a disclosure request form after making an oral request by phone to the Personal Information Desk.
    • c) Methods of confirming the actual person
      Methods of confirming the actual person making the request for disclosure are as follows.

      Confirmation is carried out by presenting your driver’s license, passport, basic resident registration card with photo or original alien registration certificate (a copy is acceptable in unavoidable cases).

      We will confirm through the following methods. However, when the actual person requests confirmation through a method other than these and the Personal Information Desk determines that this method is appropriate for confirming, it may be used for confirmation.
      ・Sending a copy of your driver’s license, passport, basic resident registration card with photo or alien registration certificate.
      ・After receiving a copy of your driver’s license, passport, basic resident registration card with photo or alien registration certificate and sending a letter by registered mail to the address of the person listed on these copies.

    • d) Confirmation when requested by agent
      Confirmation methods of the actual person, the actuality of the agent representing the person and the authority of the agent when submitting a disclosure request form by agent are as follows. However, when there is a request to confirm the actual person, the actuality of the agent representing the person and the authority through a method other than these and the Personal Information Desk determines that this method is appropriate for confirming, this method may be used for confirmation.

      Confirmation of the actual person and the actuality of the agent representing the person shall conform to the confirmation methods in Section (4). c).
      Concerning the authority of the agent, when the agent is a legal representative of a minor, the family register is required, and when the agent is a legal representative of an adult ward, confirmation shall involve requesting the presentation of a commencement of guardianship judgment certificate.
      When the agent is a mandatary, confirmation shall involve requesting the presentation of a letter of attorney and personal seal registration certificate. However, when the agent is qualified to accept delegation because the agent is an attorney, judicial scrivener, administrative scrivener or through another qualification (hereinafter referred to as “Qualified Person”), confirmation shall involve requesting the presentation of materials which prove this qualification (registration number, personal seal registration certificate for official seal).

      Confirmation of the actual person and the actuality of the agent representing the person shall conform to the confirmation methods in Section (4). c).
      Concerning the authority of the agent, when the agent is a legal representative of a minor, the family register is required, and when the agent is a legal representative of an adult ward, confirmation shall involve requesting the presentation of a commencement of guardianship judgment certificate.
      When the agent is a mandatary, confirmation shall involve requesting the presentation of a letter of attorney and a personal seal registration certificate. However, when the agent is a Qualified Person, confirmation shall involve requesting the presentation of materials which prove this qualification (registration number, personal seal registration certificate for official seal).

      Confirmation of the actual person, the actuality of the agent representing the person and the authority of the agent shall be carried out by converting the documents, etc. requested to be sent in [When sending by postal mail or fax] to a PDF format and sending them or through an electronic signature to prove the actual person, the actuality of the agent representing the person and the authority of the agent.
    • e) Commission fee
      There are no commission fees for requesting disclosure of employee information from employees. In addition, there are no commission fees for requesting disclosure from a person other than the actual employee or an agent.
  5. 5). Optionality of providing Personal Information
    When customer does not want to provide Personal Information, they can decline to provide it based on their own judgment. In this case, there may be an unbeneficial result in areas such as using our services, transactions with us, selection of employees to be hired or response to inquiries.
  6. 6). Obtaining Personal Information through methods which the actual person cannot recognize with ease.
    We do not obtain Personal Information through methods which the actual person cannot recognize with ease.
